What we collect and why

When you contact us

Our enquiry forms ask for your name, email address, telephone number, the arm of the business you need, and your message. You may also attach a CV or a brief. We use this only to answer your enquiry and to carry on the conversation that follows. Our lawful basis is legitimate interests: you have approached us about our services and we need your details to respond.

When you are a candidate

If you apply for a role or ask us to consider you for future ones, we hold your CV, career history, qualifications, the roles discussed and our notes from conversations with you. We share your details with a prospective employer only when you have agreed to that specific introduction. Our lawful basis is legitimate interests in providing recruitment services, and your consent for any onward introduction. We do not ask for special category data, and we would ask you not to include it in a CV.

When you are a client

For advisory and search assignments we hold business contact details and correspondence for the people we work with. Our lawful basis is the performance of a contract, or legitimate interests in managing the relationship.

When you receive email from us

We use Brevo to send occasional updates and insight articles. You can unsubscribe from any email using the link it contains, and Brevo records opens and clicks so we can tell whether the content is useful. Our lawful basis is consent, or legitimate interests where you are an existing business contact.

When you use this website

With your consent we use Google Analytics 4, deployed through Google Tag Manager, and Microsoft Clarity. These tell us which pages are read, how people move through the site, and where they run into difficulty. Clarity records anonymised interaction data such as scrolling and clicks. IP addresses are anonymised and we do not use this data to identify individuals.

None of these load until you accept them in the cookie banner. If you decline, no analytics cookies are set. Our lawful basis is consent, which you can withdraw at any time using the cookie settings link in the footer.

Cookies

We set one strictly necessary cookie to remember your cookie choices. Optional analytics and marketing cookies are set only after you accept them. You can change your choices at any time through the cookie settings link in the footer of every page.

Who we share information with

We do not sell personal data. We share it only with the suppliers who help us run the business, each of whom processes it on our instructions:

• Our website hosting and email providers
• Google (Analytics and Tag Manager) and Microsoft (Clarity), for website analytics
• Brevo, for email delivery
• Prospective employers, where you are a candidate and have agreed to that introduction
• Our professional advisers, and any authority we are legally required to disclose to

Some of these providers process data outside the UK. Where that happens we rely on the UK international data transfer addendum, adequacy regulations, or equivalent safeguards.

How long we keep it

• Enquiries that do not become work: up to two years from our last contact
• Candidate records: up to three years from our last contact, unless you ask us to remove them sooner
• Client records: for the duration of the engagement and six years afterwards, to meet our legal and accounting obligations
• Analytics data: in line with the retention settings of the platform, currently up to fourteen months

Your rights

Under UK data protection law you can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or object to our using it. Where we rely on consent, you can withdraw it at any time. To exercise any of these, email info@stonefortmarine.com and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113.

Security

We keep personal data on access-controlled systems, and we limit who inside the business can see it to the partners handling your enquiry. No transmission over the internet is completely secure, so please do not send us sensitive information by email.

Changes

We update this policy when our practices change. The date at the top tells you when it was last revised.
